Quote follow-up templates that are polite, short and get answers

Many quotes are not rejected. They are forgotten. A short, scheduled follow-up is the easiest way to turn sent quotes into booked jobs, if it is polite and easy to answer.

In shortFollow up on a quote with a short message that references the quote number, offers one helpful thing (an answer, an option or a date) and asks one easy question. A simple rhythm: confirm on the day you send, check in after a few days, remind before the quote expires, then close the loop politely.

Five rules for follow-ups

A simple follow-up rhythm

  1. Confirm the quote was receivedSame day. Short, with the quote number and an offer to answer questions.
  2. Check in after a few daysAsk one easy question, such as whether the scope looks right or if a date works.
  3. Answer the real objectionPrice, timing or trust. Offer a smaller option, another date or more detail instead of a discount by default.
  4. Remind before the quote expiresA day or two before the validity date, say the price is held until then.
  5. Close the loopIf there is no reply, send one final polite message and mark the chat Lost or Closed.
  6. Record the outcomeWon or lost, and why. That is how you improve your price sheet and templates.

Adjust the gaps to your business. A same-week job needs faster follow-ups than a project that takes a month to decide. Put each follow-up date on the chat’s label or in your calendar the moment the quote goes out.

10 copy-paste follow-up templates

Change the words in [brackets]. Each works on WhatsApp; for email, add a subject such as “Quote [No.] — [Job]”.

1. Quote sent (same day)

Hi [Name], here is quote [No.] for [job]. Everything included is listed above. Happy to answer any questions — is [date] still the date you have in mind?

2. Missing detail

Hi [Name], to firm up quote [No.] we just need [photo / size / access detail]. Once we have it, we can confirm the final price.

3. First check-in

Hi [Name], just checking quote [No.] for [job] arrived OK. Does the scope look right, or would you like anything changed?

4. Price question

Thanks for being upfront about the budget. We could [remove / change item] to bring it to [new total], or keep the full scope as quoted. Which suits you better?

5. Timing question

No problem. We can hold quote [No.] until [validity date]. If a different date is easier, tell us and we will check our schedule.

6. Needs to ask someone else

Of course. If it helps, here is a one-line summary to forward: “[Business] — [job] — [total] — valid until [date].”

7. Expiry reminder

Hi [Name], a quick note that quote [No.] is valid until [date]. After that we will need to re-check prices. Would you like us to pencil in a date?

8. Closing the loop

Hi [Name], we haven’t heard back on quote [No.], so we will close it for now. If you need us later, just reply here and we will send an updated quote.

9. Won — next steps

Great, thank you! Confirmed for [date and time]. [Deposit amount] secures the booking: [payment details or link]. We will message the day before.

10. Lost — ask why

Thanks for letting us know. Could we ask what made the difference — price, timing or something else? It helps us improve. Good luck with the job.

Following up on a quote the customer asked for is part of the conversation. Sending promotions to the same contact later is marketing, and rules apply:

Practical rule: follow up on the quote they requested, stop when asked, and get clear permission before adding anyone to promotions. This is general information, not legal advice.

Track follow-ups without a CRM

In the WhatsApp Business app, labels such as Quoted, Follow up, Won and Lost let you filter chats by stage, and quick replies keep the templates above one “/” away. A shared spreadsheet with quote number, date sent, next follow-up and outcome is enough for a small team.

What missed follow-ups cost (cost factors)

We do not quote a conversion statistic, because it varies by business. Count these for one month instead:

Those numbers show what a follow-up habit is worth to you. Enqovo doesn’t send follow-ups or reminders for you today (that is on the Roadmap); its plans are on the pricing page.

Frequently asked questions

How soon should I follow up on a quote?

Confirm on the day you send it, then check in after a few days. Adjust to how quickly your customers usually decide.

How many follow-ups is too many?

A common, polite pattern is a confirmation, a check-in, an expiry reminder and a final close-the-loop message. Stop immediately if the customer says no or asks you to stop.

Should I offer a discount in a follow-up?

Not by default. First find the objection. Often a smaller scope, a different date or more detail solves it without cutting your price.

Is a quote follow-up a marketing message?

A follow-up on a quote the customer asked for is part of that conversation. Promotions sent later are marketing and may need consent and an unsubscribe option, depending on where you are.

Can I send follow-ups by email instead of WhatsApp?

Yes. The same templates work; add a subject line with the quote number so it is easy to find.

Does Enqovo send follow-ups automatically?

No. Enqovo has no follow-up reminders today, manual or automatic; they are on the Roadmap. Live today: site-form intake, rule-based drafts from your price list, your inquiries and quote drafts in one dashboard, owner approval before sending, and a one-tap FPS / PayMe / PayPal payment message after you approve. Use the templates above and send follow-ups yourself.
