Why WhatsApp quotes get slow
WhatsApp is where many customers already are, which is why “how much?” lands there first. The channel itself is fast. What slows a quote down is usually one of four things:
- The price lives in one person’s head. If only the owner can price a job, every enquiry waits for the owner.
- Facts arrive one message at a time. “Where is it?” … “How big?” … “When?” Each round trip can cost hours.
- No standard format. Each quote is typed from scratch, so it takes longer and is easier to get wrong.
- No follow-up system. The quote goes out and the chat sinks under newer messages.
The fix is not typing faster. It is deciding prices and questions in advance, then letting the tools do the repetition.
Step by step: a faster WhatsApp quoting system
- Write a one-page price sheetList your packages, add-ons, minimum charge, location or travel rules, rush or after-hours rules, and what is never included. If two people on your team would quote the same job differently, the sheet is not finished.
- Pick the 4–6 facts you need to priceUsually: what the job is, size or quantity, location, preferred date, photos or documents, and anything that makes access or delivery harder. Anything you would ask in a second message belongs here.
- Set a greeting and away message that asks for those factsWhatsApp Business can send a greeting message to new customers and an away message outside your hours. Use both to ask your intake questions and say when you will reply.
- Save quick replies for the messages you type every dayIntake questions, “please send photos”, your quote format and your follow-ups. WhatsApp Business lets you save up to 50 quick replies and insert them by typing “/”.
- Label every chat by stageNew enquiry, Need info, Quoted, Follow up, Won, Lost. Labels turn your chat list into a simple pipeline you can filter.
- Send the quote in one fixed formatScope, line items, total, what is not included, validity date and the one next step. Same order every time, so customers can compare and you can check.
- Follow up on a schedule, not on memoryPut the follow-up date in the chat label or your calendar the moment you send the quote. Use the templates in our follow-up guide.
Step 1 in detail: the one-page price sheet
A price sheet is the single biggest speed-up because it lets anyone on the team answer without waiting. Keep it to one page and include:
| Section | What to write |
|---|---|
| Packages | Your standard offers, each with what is included in plain words. |
| Add-ons | Extras priced per item, per hour or per unit. |
| Minimum charge | The smallest job you will take, so tiny jobs are easy to answer. |
| Location rules | Areas you cover, and any travel or delivery charge by zone. |
| Timing rules | Rush, weekend or after-hours changes, if you charge them. |
| Exclusions | What you never include, so it is written once instead of argued later. |
| Validity | How long a quote stays open, since your own costs change. |
Use your own numbers. If a job truly cannot be priced without a visit or a review, say so in the sheet and give the customer the next step (photos, a call, a site visit) instead of a guess.

Set up the WhatsApp Business tools
These features are in the free WhatsApp Business app (check the official features page for what is available in your region):
- Quick replies — save reusable messages and insert them by typing “/” and choosing one. You can save up to 50 (WhatsApp Help).
- Labels — tag chats such as “Quoted” or “Follow up” and filter by label (WhatsApp Help).
- Greeting message — sent automatically to a first-time customer, or one who returns after 14 days without messaging (WhatsApp Help).
- Away message — sent automatically outside the hours you set (WhatsApp Help).
Menus can change between app versions, so follow the steps in the linked help articles rather than old screenshots.
Mistakes that slow quotes down
- Sending a range with no assumptions. “About 2,000–4,000” invites haggling. If you must give a range, say what moves it up or down.
- Quoting before you have photos or documents. A fast wrong quote is slower than a correct one, because you will re-quote.
- Using a voice note as the quote. Customers cannot scan or forward it, and you have no clear record.
- Changing prices mid-chat without a new quote. Send a new numbered quote so everyone knows which one is current.
- Letting the chat sink. Label it and set the follow-up date the moment you send.
What slow quoting costs you (cost factors)
We will not quote an industry statistic here, because the honest answer depends on your business. Measure these four factors for two weeks instead:
- Owner time per quote — minutes from first message to quote sent.
- Round trips — how many messages until you have enough to price.
- Re-quotes — how often a price changes after it was sent.
- Silent quotes — quotes with no reply and no follow-up.
Tool costs are the smaller part. The WhatsApp Business app is a free download; see the official site for paid options. Enqovo’s current plans, including a free pilot, are on the pricing page.
Where Enqovo fits
Enqovo is built around the same habits this guide describes, and we keep the line between live and coming clear:
- Live Site form intake at
/c/?s=your-slugor as an embed, so the facts you need arrive in one structured message. - Live Rule-based drafts from your own price list and rules (packages, add-ons, volume, location). No invented prices. See what rule-based quoting means.
- Live Inquiries and quote drafts in one dashboard, with Approve / Edit / Skip: you approve every quote before it’s sent. See the human gate.
- Live One-tap FPS / PayMe / PayPal payment message after you approve a quote, with your own saved details. You send it; the money goes straight to you. Enqovo doesn’t process, hold or track payments.
- Coming Meta WhatsApp auto-send, connecting your own WhatsApp number, quote history and Google Calendar. Roadmap Follow-up reminders, CRM sync and invoice PDF. Until then you paste the approved quote into WhatsApp yourself and send any follow-ups yourself.
Frequently asked questions
Can I send a price list on WhatsApp?
Yes. You can save it as a quick reply, send a PDF or image, or use the WhatsApp Business catalog for products and services. A short text quick reply is often easiest for customers to read on a phone.
Should I give a price range or an exact price?
Give an exact price whenever you have the facts. If you need a range, state the assumptions (size, access, date) and what would change the price, then ask for the missing detail.
How many quick replies can I save?
WhatsApp Business lets you save up to 50 quick replies. You insert one by typing “/” in the chat and choosing it.
Is a voice note OK for a quote?
Use voice notes for questions, not for the price. Send the quote as text so the customer can read, forward and accept it, and you keep a clear record.
What should my away message say?
Say when you will reply and ask for the facts you need to quote. Then the customer’s first message can already contain everything you need.
Does Enqovo send quotes on WhatsApp automatically?
Not today. Meta WhatsApp auto-send is marked Coming. Today Enqovo takes enquiries through a site form, drafts the quote from your price list and rules, and you approve, edit or skip it before you send it yourself.
